Pro-Coaching Specific Terms & Conditions

The following terms and conditions apply to all transactions with Pro-Coaching:

Booking
Postal bookings will be confirmed in writing or by email within 14 days. Online bookings will receive automatic confirmation. Pro-Coaching accepts cash or cheques made payable to Pro-Coaching Ltd. Due to the popular demand for our courses we are unable to guarantee places without prior payment and in order to avoid disappointment, we strongly discourage parents/carers turning up on the day. Parents are however welcome to telephone at last minute to check on course availability.

Cancellation
If for any reason you are required to cancel a confirmed booking, provided we are notified 21 days or more in advance of the course, a full refund will be given (less £10 administration charge per course booked). If you are unable to provide us with a minimum of 21 days notice, we regret a refund will not be available. Bookings made online will receive a refund by cheque.

If Pro-Coaching is required to cancel a particular course then those booked will be given at least 7 days notice where possible. We will endeavour to offer alternative arrangements, or all monies can be refunded if requested. This will happen only in exceptional circumstances.

Changes in Booking
We will try to accommodate any changes you may require to a confirmed booking. There will be a £5 administration charge per course in such circumstances.

In order to maintain high standards of coaching and enjoyment amongst children of all age ranges, in the event of it not being possible to group individuals amongst other children of a similar age/ability we will notify parents in advance and offer an alternative course if requested.

Insurance
All children on Pro-Coaching courses are covered by our coaches' Public Liability Insurance.

First Aid
In the event of an accident, first aid will be administered to children in our care; the emergency services will be called if necessary, unless advised otherwise.

All essential medication e.g. epipens, inhalers etc. must be handed into registration at the start of each day. Make sure appropriate sun cream is administered prior to coaching days when the weather is warm/hot together with additional supplies for self application.

Medals/Prizes
At all times children will receive an attendance certificate except during Easter and Summer holiday courses where they will be awarded a medal *. Prizes will be available to win on all courses, but are not provided to everyone.
* This excludes Bristol City courses where a gift may be given as an alternative to a certificate or medal.

Settling In Policy
In the interest of the child/ren, Pro-Coaching operates a settling in policy. If a child appears unhappy or distressed 45 minutes after arriving, the coach will contact his/her parent/carer to discuss the matter, which in exceptional circumstances may result in a request for collection.

Lost Property
Please ensure that children do not bring valuable toys or belongings as Pro-Coaching cannot be held responsible if they go missing. We will try to return any items lost and kindly ask parents to label all items.

Drop Off/Collection
Children are to be dropped off and collected from the registration area. Parents may collect their children from the playing areas if they wish, but must notify the coach of their intention beforehand (with the exception of early drop off and late pick up at King’s Hall).

Children will only be released to parents after they have signed his/her child out in the register. If someone other than the original parent/carer is collecting the child please tell registration at the start of the day.

Please be prompt when collecting your child/ren. Pro-Coaching reserves the right to charge parents a late collection fee of £5 for every fifteen minutes or part thereof, commencing ten minutes after the advised collection time.

Transferring Between Sites
On occasions, at some of our venues there is a need to briefly walk between sites. This may mean walking across roads and/or along paths. Children will be supervised safely at all times. If you do not wish for your child to participate in this then please make Pro-Coaching aware on 01823 351121.

Photography
Occasionally we take photographs of children for promotional activities. If you do not wish for your child/ren to be photographed, please notify us beforehand.

Mobile Phones
Children are permitted to bring mobile phones with them to courses but only for the express purpose of making emergency calls to parents or guardians. At all other times they must remain switched off and safely stored within their bags.

Child Exclusion
In the interest of the coaching groups, Pro-Coaching reserves the right to exclude children who display disruptive or aggressive behaviour. On these very rare occasions no refund will be made for the remainder of the course and any costs incurred with the exclusion including transporting home will be the parent’s responsibility. This exclusion also applies to bullying.

Coaches
Pro-Coaching reserves the right to change specified coaches advertised in our leaflet or website. This will only be in exceptional circumstances and alternative coaches will remain experienced and fully qualified within the specific sport.

Parent Feedback
Pro-Coaching aims to provide the best possible coaching for children and an excellent service to all parents. We value your feedback and will use it to develop and improve our services. We also encourage you to share any positive experiences of Pro-coaching amongst family and friends.

PRO-Kit Specific Terms & Conditions

The following terms and conditions apply to all transactions with PRO-Kit:

Purchasing Goods
Your order is an offer to buy the goods on these Terms & Conditions of Sale. We will send you an initial email confirming receipt of your order and your order details. Once your order has been processed we will send you a subsequent email; this is our acceptance of your offer to buy the goods. We will also aim to provide a dispatch date and an indicative delivery date.

Availability of Goods
Whilst we will always try to inform you if any goods are unavailable before you place an order, we cannot guarantee that it will be possible to do so in every instance. If it does happen that your goods are out of stock we will obtain a restocking date and advise you by email. You have the option either to wait until the goods come back into stock or be refunded for any unfulfilled items.

Descriptions
To the best of our knowledge, the products and descriptions used within the PRO-Kit online shop are accurate and up-to-date. The images on our site are to assist you in your selection, however, we constantly strive to refine and evolve our product ranges so occasional, slight variations are possible. All measurements and weights are as accurate as possible but should be treated as approximate.

Making A Purchase

Making a purchase could not be easier. Just browse our store, and add any items that you wish to buy into the shopping cart. After you have finished your selection, click on 'Checkout' and you will be asked for a few details that we need to be able to complete the order.

When confirmation of order is received, this is to indicate that we have received your order. It does not indicate that a contract exists between us. We will indicate acceptance of your order, and hence a contract between us, via a subsequent email once we have finished processing your order. We have included this term to protect us in the case that a mistake has been made in pricing, we have inadvertently under-priced goods, or we are no longer able to supply a particular product for some reason.

In the case of a change of price, we will always contact you first to ensure that the price is acceptable.

Delivery And Handling

For obvious reasons, delivery charges do not apply to coaching courses ordered through Pro-Coaching.

Delivery for kit ordered through PRO-Kit is calculated according to the weight and size of products ordered and includes packaging costs. We are constantly striving to find the optimum balance between speed of delivery and cost - our delivery charges are therefore subject to change from time to time.

Where a PRO-Kit Essentials kit product is ordered as a companion product to a course booking, an option will be available to take delivery during the course at a reduced cost. These will be delivered to the course venue in time for the start of the course.

Please rest assured that we will always strive to find the most cost-effective, value for money delivery method.

Delivery Schedule

For kit orders, we require 24 hours processing time prior to dispatch. Normal delivery times are 24-48 hours from dispatch.

We will keep you informed of progress and advise in the case of any delay.

Please note that for security reasons we can ONLY deliver to the billing address supplied with the order. There can be no exceptions. A signature will be required for most orders.

Back Orders

If your item is not in stock, we can back order for you. You will always be emailed with the option to cancel your order if you would rather not wait.

Tax Charges

Coaching course bookings and kit orders are both VAT free at this time. This may be subject to change.

Credit Card Security

We accept credit card payment via leading Payment Service Provider 'ProtX'. You will be temporarily transferred to their secure site to make payment - for your added security we do not collect or store card details on our website.

If shopping with us from outside the UK you may need to make special arrangements - please contact us for further details.

Guarantee

We make every effort to guarantee your satisfaction.

Pro-Coaching
If a coaching course fails to live up to your expectations please tell us why so that we can take the appropriate action. This may include a partial or complete refund.

PRO-Kit
We operate what we consider to be an extremely fair Damage & Warranty policy but it is, of necessity, discretionary. The full policy can be found in the Damage & Warranty Section, under 'About Us-PRO-Kit' in the menu on the left, but in overview, we offer a one year warranty on all of our equipment and we will cover any and all damage resulting from poor workmanship and over and above that which could be reasonably attributed to misuse or fair wear and tear - in other words, anything that is not believed to be the fault of the customer. Warranty cover may involve professional repair, replacement, or full or partial credit, as appropriate.

In the event of any problems, please contact us so that we can review the situation and arrive at an appropriate course of action - we are always fair and balanced, and we will do everything we possibly can to reach a mutually agreeable solution with the customer.

Privacy Policy

Pro-Coaching do not disclose buyers' information to third parties other than when order details are processed as part of the order fulfilment. In this case, the third party will not disclose any of the details to any other third party.

Cookies are used on this shopping site to keep track of the contents of your shopping cart, to store delivery addresses if the address book is used and to store your details if you select the 'Remember Me' Option. You can turn off cookies within your browser by going to 'Tools | Internet Options | Privacy' and selecting to block cookies. If you turn off cookies, you will be unable to place orders or benefit from the other features that use cookies.

Use of your Personal Information
When you use the Pro-Coaching site to book and pay for courses or kit you will be asked to provide certain information such as your contact details. We will store this data in a database and use it to fulfil our agreement with you.

We may use information that you provide or that is obtained by us:
  • To administer our services
  • For marketing purposes, to keep you informed of products and services offered by Pro-Coaching and PRO-Kit
  • We will not at any time and for any reason sell your information to third parties.

    Security
    We endeavour to take all reasonable steps to protect your personal information and cannot be held responsible for any breach of security unless this is due to our negligence or wilful default.

    General
    You have the right to see personal data (as defined in the Data Protection Act) that we keep about you, upon receipt of a written request and payment of a fee. If you are concerned that any of the information we hold on you is incorrect please contact us via the link on the menu bar at the top of each page.

    How Can I Get My Name Removed from the Pro-Coaching Marketing Lists?
    If you want to be removed from our marketing lists, please contact us via the link on the menu bar at the top of each page with the word 'Remove' in the subject line and the email address that you wish to be removed. Please note that it may take up to 28 days to action your request.
  • Returns & Cancellations Policy

    Your rights to return goods are protected under the EU Distance Selling Directive which can be found at http://www.hmso.gov.uk/si/si2000/20002334.htm

    Cancelling Prior to Delivery
    Please email us immediately at service@pro-kit.org.uk with your name, address and order number. Whilst we will try to cancel the order before it is despatched, we may be unable to do so. If the goods are delivered you will still need to follow the Returns Process as set out below. We will refund the purchase price (less any postage charge we have incurred for sending the parcel) via your original payment method within 30 days of your cancellation notice.

    Cancelling After Delivery
    You have a statutory right to cancel your order, but you must notify us in writing (post or email) within 7 working days of delivery. Your right to cancel does not apply to goods you have used and which are therefore not in a saleable condition.

    In both instances, you are responsible for the costs of returning the goods and this cannot be refunded. We are not responsible for the goods until we have received and signed for them.Your right to cancel is separate from other statutory rights you may have.

    Faulty or Inappropriate Goods, Incomplete or Incorrect Order, or Faulty Delivery
    Please contact our Customer Services Department either via email (service@pro-kit.org.uk) or by post as soon as possible, and within 10 working days at the latest, if:
  • The goods received are defective or otherwise inappropriate, e.g. incorrect size
  • Your delivery is not complete or is incorrect
  • Products are damaged or have gone missing in transit

    You should then follow the returns process below. We will offer replacement goods (or complete the order in the case of missing goods) as a first course of action in all cases. If we find that the goods are faulty, and you have returned them within a reasonable period (a maximum of 28 days), we may, at our discretion, offer a refund rather than a replacement. In all instances except where you have ordered the wrong size, we will also reimburse your postage and packing costs for returning the goods (standard recorded delivery).

    You are responsible in the first instance for the costs of returning the goods. We are not responsible for the goods until we have received and signed for them. This refund policy does not affect your statutory rights.

    Returns Process
    Write to us (mail or email) at the Returns Address below, providing your name and contact details, your order number and a description of the goods being returned. We will provide you with a Returns Number which must be clearly marked on the package that you return to us. Please do not send any goods back to us without having obtained a Returns Number.

    Goods should be sent back to us at the Returns Address in their original packaging (wherever possible) and they must be in a saleable condition. We recommend that you use recorded delivery to ensure they reach us safely.

    If you do not return the goods but have cancelled or failed to make good on a payment, we have the right to collect the goods from you and charge you the full cost of doing so.

    Unless you explicitly advise us to the contrary, in writing and as indicated above, we will consider the products as being as described, of satisfactory quality and fit for purpose. We will not, therefore, accept any cancellation at a later date unless the goods can subsequently be shown to be faulty.
